AI Transparency

How our AI assistant works

Bubblu Labs uses AI technology to answer phone calls for our clients and schedule appointments. In accordance with the EU AI Act (Art. 50–54) and GDPR, we provide transparent information here about which AI systems we use, how they work, and what rights you have.

How our AI assistant works

When you call a phone number managed by a Bubblu Labs client, your call is answered by an AI assistant. The assistant understands your request in natural language, answers common questions, and can book appointments directly into the calendar. The entire process is automated — no human is live in the conversation.

AI systems in use

Retell AI (voice processing)

Converts your speech to text (Speech-to-Text) and generates the assistant's spoken response (Text-to-Speech). Operator: Retell AI, Inc., USA. Data Processing Agreement (DPA) in place. Retention: 90 days.

OpenAI GPT (language model)

Understands the content of your request and generates appropriate responses. Operator: OpenAI, LLC, USA. Data is transmitted pseudonymously and not used for training (API usage with DPA).

Google Calendar (appointment booking)

Checks calendar availability and creates appointments. Operator: Google Ireland Limited, Ireland. Servers located in the EU. Retention: 12 months.

Notice for callers

All callers are informed at the start of the call that they are speaking with an AI assistant, not a human. You may at any time request to be connected to a human team member.

Data processing during calls

The following data is processed during a call:

  • Your phone number (caller ID)
  • Date and time of the call
  • Call transcript (text)
  • Call duration
  • Summary and outcome of the conversation
  • Appointment details (name, requested time) if you book an appointment

This data is stored in our database (Supabase, EU servers Frankfurt). The voice transcript is retained at Retell AI for up to 90 days. Our internal retention period is 12 months.

Legal basis: Art. 6(1)(b) GDPR (contract performance) for appointment bookings; Art. 6(1)(f) GDPR (legitimate interest) for call logging for quality assurance.

Human oversight

All calls are regularly reviewed by our team and the respective client. Calls can be transferred to a human team member at any time. No automated decisions with legal effect are made (no Art. 22 GDPR scenario).

What our AI assistant cannot do

  • No legal advice or legally binding statements
  • No medical diagnoses or medical recommendations
  • No binding price commitments or contract conclusions
  • No processing of payment data
  • No statements about topics not configured for the respective client

Prefer to speak with a human?

If you prefer to speak directly with a human team member, simply say "I'd like to speak with a person" — the assistant will transfer you or leave a message for the client. You can also reach us directly by email at info@bubblu-labs.com.
